VENDOR APPLICATION

A Careful Selection Process

Vendors determine the outcome of events and therefore profoundly affect our clients and our venues. For this reason, only approved vendors - ones that we have witnessed repeatedly perform to a high standard - are allowed at our venues.

If our client selects you, a vendor who is not on our approved list on this site, you must complete the following application in its entirety. Once an application is complete, we will review, contact you as needed, and promptly respond to you with our decision.

If you have additional questions, before contacting us please see our Vendor FAQ. All of your questions are answered here.

Which Vendors must apply?

Any vendor not on the published list on this site must apply. If you're a vendor and are not on the approved list, please assume that you will need to complete this application. Do not tell the client that you are already approved, even if you've been to the venues before. If you are uncertain about your status, please contact us.

Insurance requirement

An annual liability policy of at least $1 million and issued in your company's name is required (no one-day policies). We require a COI (certificate of insurance), not a proof of insurance. It is a summary of a vendor's liability policy, usually on a single page, with us named as additional insured on their policy.

This is what a COI from your insurance agent should look like. Please share this with your agent to expedite matters. It is critical that your COI conform to this exactly. If your COI does not conform to this template, you will not be approved.

Vendor COI

Your COI, before you apply

Before proceeding have your Certificate of Insurance (COI) naming "Dragon Park LLC, 4710 Charlotte Ave., Nashville, TN 37209".

Your application will not be accepted without receiving your COI at the time of submission. Do not submit your proof of insurance (POI). If you don't know what a COI is or how your agent should complete it, you can find the template here. Common oversights by many agents: they forget to but a "Y" in the Additional Insured column, make the policy for a single day rather than the full year, make the COI applicable to only one of our venues, or leave off liquor liability. Caterers providing bartending services must provide liquor liability on the COI of at least $1 million.

Fee

Vetting a vendor and educating them on our facility and policies takes time.  We charge a fee of $500 for each new vendor application.

Will I be approved?

You'll be approved if (1) your application is submitted completely and accurately the first time, and (2) we determine that you're a professional vendor with all that that entails.

Invitation to the Approved List

A vendor may only come to the one event for which they were approved.

The approval does not guarantee the vendor a place on the approved vendor list as the list is merit, not fee, based. After the event, we may ask the vendor if they would like to appear on our approved vendor list.

Let's make this quick

Please continue only if you are the vendor. Clients cannot complete the application on behalf of a vendor.

Complete this application in its entirety and only once as each submittal creates a separate application.  If a submittal is incomplete the application will be rejected.

If you have additional questions, before contacting us please see our Vendor FAQ. These are the components of the application:

  • Your business information
  • Vendor Agreement (our liability release)
  • Your COI (Organists excluded)
  • $500 fee (Coordinators and organists excluded)
