VENDOR APPLICATION

Selection Process

PLEASE READ CAREFULLY BEFORE PROCEEDING

Any vendor not currently on the published vendor list must (re)apply.
If you have been to our venues before and are uncertain of your status or approval eligibility, please contact us before applying.

We only accept professional vendors who can clearly demonstrate their credentials
(active website, portfolio, current annual insurance, etc.). Please do not apply if you cannot provide this evidence.

Application Requirements

- The entire application, including the application fee, must be completed in a single session.
- Your Certificate of Insurance (COI) must show an annual general liability policy and must match the exact format we provide.

Important
Incomplete applications (for example, missing the fee) will not be reviewed and you will not receive a response.

Non-conforming applications (for example, a COI with a different policyholder name or a policy shorter than one year) will also not be reviewed. In these cases you must submit a new application and pay the fee again.
Once a complete and compliant application is received, we will review it promptly and respond. As part of the approval process, you may be asked to visit the venue for a brief orientation.

If you have questions, see the Vendor App FAQ.

Which vendors must apply?

Any vendor not currently listed on the Approved Vendor List must (re)apply.
If you are not on the Approved List, you are required to submit a full application—even if you have worked at our venues before. Please do not tell clients you are already approved or will be approved.

If you are unsure of your current status, contact us before applying.

All rental companies and bartenders must come from the existing Approved List. We do not accept applications for new vendors in these categories.

Insurance requirement

An annual general liability policy of at least $1 million, issued in your company’s name, is required. One-day or short-term policies are not accepted.

We require a Certificate of Insurance (COI). Proof of Insurance (POI) is not accepted.

A COI is a one-page summary of your liability policy that must name us as an additional insured:
Dragon Park LLC
4710 Charlotte Ave.
Nashville, TN 37209

Your COI must match the exact template shown below. Please share this template with your insurance agent to avoid delays. Applications with non-conforming COIs will not be reviewed.

Common oversights we frequently see:
- Insured name does not match application name
- Missing the “Y” in the Additional Insured column
- Policy term shorter than one full year
- COI limited to only one of our venues
- Missing liquor liability coverage

Note for caterers: If you provide bartending services, your COI must also include liquor liability of at least $1 million.

If you do not have an annual policy, you may buy one here.
Vendor COI

Everything before you apply

Please complete the application only once.

Wait to submit until you have received your Certificate of Insurance (COI) from your agent.

Your application will not be reviewed unless both the completed application (including the fee) and a conforming COI are submitted together.

If you do not receive a response from us, it is almost always because the application was incomplete or non-conforming.

Application Fee

Vetting a vendor and orienting them on our facilities and policies requires significant time.

We charge a non-refundable fee of $500 for each vendor application.

This is a per-application fee (not a one-time fee). Payment of the fee does not guarantee placement on the Approved Vendor List.

The fee is non-refundable under all circumstances.

Will I be approved?

You will be approved if:
  • Your application is submitted completely and accurately the first time
  • We determine that you are a professional vendor (with all that entails)
  • We have had a positive experience with you if our paths have crossed in the past.

Is this application for the Approved Vendor List?

No.

This application only allows a vendor to work the specific event for which they are approved. It does not add the vendor to the Approved Vendor List.

Placement on the Approved Vendor List is based on merit, not on payment of the application fee. After the event, we may invite the vendor to join the Approved List if the experience was positive.

Before Starting

Please continue only if you:

  • Are the vendor (clients cannot complete the application on behalf of a vendor)
  • Are the vendor (clients cannot complete the application on behalf of a vendor)
  • Have a compliant COI from your agent (organists excluded)
  • Have payment ready ($500)

If you have questions, see the Vendor App FAQ.

If you are a planner/ coordinator use the Coordinator Application.
