VENDOR APPLICATION

Selection Process

Since vendors determine the quality of events and profoundly affect clients and us, only approved vendors - ones that have performed to a high standard at our venues - appear on our Approved List.

If the client selects you, a vendor who is not on this list, you must complete the following application in its entirety. Once complete, we will promptly respond. You may be required to come to the venue for an orientation.

If you have questions, see the Vendor App FAQ.

Which vendors must apply?

Any vendor not on the published list on this site must apply.

If you're a vendor and are not on the approved list, assume that you will need to complete this application. Please do not tell the client that you are already approved, even if you've been to the venues before. If you are uncertain about your status, contact us.

All rental companies and bartenders must come from the Approved List; we do not accept applications for new vendors in these categories.

Insurance requirement

An annual liability policy of at least $1 million and issued in your company's name is required (one-day policies are not accepted). We require a COI (certificate of insurance). Proof of insurance (POI) is not accepted. A COI is a summary of a vendor's liability policy, usually on a single page, with us (Dragon Park LLC, 4710 Charlotte Ave., Nashville, TN 37209) named as additional insured on their policy.

Below is what a COI provided by your insurance agent should look like. Please share this with your agent to expedite matters. To be approved, your COI must conform to this template exactly.

Common oversights by many agents include forgetting to put a "Y" in the Additional Insured column, making the policy for a single day rather than the full year, assigning the COI applicable to only one of our venues, or leaving off liquor liability. Caterers providing bartending services must provide liquor liability on the COI of at least $1 million.

If you do not have a policy, you may buy one here.
Vendor COI

Everything before you apply

Please complete the application only once. Wait to apply until after you receive the COI from your agent. An application will not be accepted without receiving the COI at the time of submission.

Fee

Vetting a vendor and orienting them on our facility and policies takes some time.  We charge a fee of $500 for each new vendor application. This is a per visit fee, not a one-time fee. The fee is non-refunadable.

Will I be approved?

You'll be approved if (1) your application is submitted completely and accurately the first time, (2) we determine that you're a professional vendor with all that that entails, and (3) we've had a good experience if our paths have crossed in the past.

Is this application for the Approved Vendor List?

No it is not. A vendor may only come to the one event for which they were approved; they are not added to the Approved Vendor list through this application. The approval does not guarantee the vendor a place on the approved vendor list as the list is merit, not fee, based. After the event, we may ask the vendor if they would like to appear on our approved list.

Before Starting

Please continue if you.....

  • are the vendor (clients cannot complete the application on behalf of a vendor)
  • have the COI from your agent (organists excluded)
  • have payment ready ($500)
