COORDINATOR APPLICATION

Selection Process

The coordinator/ planner is the creative and control element for events and we therefore take the role very seriously.

If the client selects you, a vendor who is not on our Approved Vendor list, you must complete the following application in its entirety. Once complete, we will promptly respond. You will be required to come to the venue for an orientat‍.

We require all clients to have, at minimum, a month of coordinator. Please do not book lesser offerings (week-of, day-of, etc.). We will be contacting you a month prior to the event and will expect 1) the floorpan, 2) the timeline, and 3) list of vendors at that time. If we are unable to reach you at that time, we will have the client find a replacement.

Professional and Nashville-based

Coordinators must be actual professionals (coordinated regularly, not on occasion).

Coordinators must live in the Nashville area as they will have familiarity with the local vendors, our venues, and standard event practices in our market.

If you are an out of town coordinator, please contact us before applying. You must go through the standard vendor application and pay the application fee.

Insurance requirement

An annual liability policy of at least $1 million and issued in your company's name is required (one-day policies are not accepted). We require a COI (certificate of insurance). Proof of insurance (POI) is not accepted. A COI is a summary of a vendor's liability policy, usually on a single page, with us (Dragon Park LLC, 4710 Charlotte Ave., Nashville, TN 37209) named as additional insured on their policy.

Below is what a COI provided by your insurance agent should look like. Please share this with your agent to expedite matters. To be approved, your COI must conform to this template exactly.

Common oversights by many agents include forgetting to put a "Y" in the Additional Insured column, making the policy for a single day rather than the full year, assigning the COI applicable to only one of our venues, or leaving off liquor liability.
Vendor COI

Everything before you apply

Please complete the application only once. Wait to apply until after you receive the COI from your agent. An application will not be accepted without receiving the COI at the time of submission.

Fee

We do not charge coordinators an application fee.

Orientation

If you are new to our venues, we require that you come in for an orientation after your application has been approved.

Will I be approved?

You'll be approved if (1) your application is submitted completely and accurately the first time, (2) we determine that you're a professional vendor with all that that entails, and (3) we've had a good experience if our paths have crossed in the past.

Is this application for the Approved Vendor List?

No it is not. A vendor may only come to the one event for which they were approved; they are not added to the Approved Vendor list through this application. The approval does not guarantee the vendor a place on the approved vendor list as the list is merit, not fee, based. After the event, we may ask the vendor if they would like to appear on our approved list.

Please confirm the status of the client's other vendors

Any vendor not on the Approved Vendor List must be approved at least 30 days prior to the event. Please make sure that this is done so that the client does not experience any last minute surprises.
