Here is everything you need to know before and during the event. Please review this checklist carefully. Reach out to us with any questions before the event day, and contact the Venue Manager on-site the day of the event.
General
Refer to the Clementine or Ruby Event Guide for general venue questions.
Refer to the Vendor APP FAQs for all vendor application questions before contacting us.
Any vendor not on the Approved Vendor List must submit a complete application (including the fee) at least 30 days before the event. Unapproved vendors are not permitted on the premises.
Events must be loaded out and doors locked by the event end time (often midnight). If your load out will take longer than allotted, let the coordinator know so that the event may end earlier or the client purchases late load-out.
If you are partnering with another company (for example a videographer), that company must submit its own separate vendor application.
You must be separately approved before the event day if you wish to provide any additional services (photo booth, etc.).
Event Day
We do not have an 11 person couch.
If you are able to create a short reel for our social media on the day of the event, we would be most appreciative.
Furniture may not be moved (including items in the dressing rooms and entry benches).
There is a limit of 5 bridesmaids on the couch. Guests may not stand on the outdoor benches. Nothing may be placed on the pool table. Clients may not be photographed in the landscaping.
Wedding dresses may not be hung on metal window screens, light fixtures, picture frames, or any other inappropriate places.
If you wish to use additional lighting, please have it approved by the coordinator and client in advance — bright lighting often generates negative feedback.
If you would like to leave a sample wedding album, we will display it in the bridal room for prospective clients. Few photographers avail themselves of this, but it's inexpensive advertising for you.
Before departing, complete a walk-through and check-out with the venue manager.
Post Event
Please send us a link to the photos within 90 days (this is in the client’s contract). We may use selected images for social media and marketing (examples can be seen on our Instagram, Pinterest, and other platforms).
Please send us a link to the video . We may post the video on our website or YouTube channel.
