BAND & DJ CHECKLIST

Welcome!

Here is everything you need to know before and during the event. Please review this checklist carefully. Reach out to us with any questions before the event day, and contact the Venue Manager on-site the day of the event.

General

  • Refer to the Clementine or Ruby Event Guide for general venue questions.
  • Refer to the Vendor APP FAQs for all vendor application questions before contacting us.
  • Any vendor not on the Approved Vendor List must submit a complete application (including the fee) at least 30 days before the event. Unapproved vendors are not permitted on the premises.
  • Events must be loaded out and doors locked by the event end time (often midnight). If your load out will take longer than allotted, let the coordinator know so that the event may end earlier or the client purchases late load-out.
  • We allow bands of 10 or fewer due to the size of the venue (exceptions must be approved in advance).
  • Please review our Audio specs for Clementine or Ruby — most questions about load-in/out, system, power, dressing rooms, and parking are answered there.
  • We do not provide an audio engineer. The venue manager will help you connect to our system and set master and channel volumes.
  • You are required to connect to our house system (speakers) so sound can be broadcast throughout the property.
  • You must be separately approved if you wish to provide any additional services (photo booths, lighting, etc.). Note that Nashville does not allow cold-spark fountains or sparklers.

Event Day

  • We require a sound check if you are using the house speakers (which we prefer).
  • Uplighting or other non-stage lighting may not be brought in without prior approval.
  • Remote-control lighting may not be used, as it can interfere with our in-house LED lighting. Any service call required to correct interference will be charged to the band/DJ.
  • Any item that sits on the wood floor must have felt or soft feet. Tape (including gaff tape) is not allowed on the floor. Floor repair costs will be passed on to the band/DJ.
  • Please return all XLR receptacle covers at the end of the event.
  • Throw away all trash, coat hangers, and similar items from the dressing room and stage area.
  • Before departing, complete a walk-through and check-out with the venue manager.
